Position Title: Finance Manager / Accounts Manager

Reports To: General Manager / Financial

We are looking for a dedicated and experienced Finance Manager to join our team and ensure the best possible experience for our guests by managing all billing-related activities effectively. Finance Manager Duties and Responsibilities:

Troubleshoot and resolve all billing-related disputes to ensure guests have an exceptional experience. 

Represent the finance department in daily meetings with the general manager and department heads. 

Oversee all phases of Accounts Payable, Receivable, and manage the department budget. 

Calculate and distribute wages and salaries accurately. 

Prepare regular reports and summaries of accounting activities. 

Prepare financial statements and debtors’ listings. 

Verify recorded transactions and report any irregularities to management. 

Provide direction to the night audit team for accurate revenue reporting. 

Review all ledger details (guest, city, and deposit ledgers) to ensure proper payment and revenue posting. 

Coordinate with the PMS team to resolve any ledger imbalances or discrepancies. 

Review postings, payments, revenue, and guest balance reports daily. 

Ensure correct taxation is applied on all billing software (PMS, POS, SPA). 

Ensure all Local Tax Policies. 

Bill A/R accounts daily and send them to guests with supporting statements. 

Follow up on accounts within 3 days to confirm invoice receipt and address any questions. 

Review the A/R aging reports daily and follow up on outstanding payments. 

Check customer credit ratings and flag accounts as ‘Blacklisted’ for long outstanding or defaulter accounts. 

Enter invoices into the accounts payable system weekly after verifying purchase orders and obtaining approval. 

Forecast cash payments and address challenges arising from limited cash flow. 

Ensure adequate cash flows to allow business units to operate effectively. 

Maintain banking relationships and negotiate loans and merchant services for business units. 

Maintain files of all contracts, insurance policies, tax reports, expenses, payroll, etc. 

Transfer money between bank accounts as required. 

Perform numerical analysis of data and formulate conclusions and solutions. 

Approve Travel Agent commissions and release payments after verification. 

Prepare financial reports and submissions to relevant government entities. 

Ensure all new hire paperwork, benefits, performance appraisals, disciplinary actions, and other personnel documents are filed appropriately. 

Monitor and manage property inventories to ensure proper levels without burdening cash flows. 

Prepare and present financial reports for meetings and investors. 

Work with executives and business heads to prepare budgets and track profit/loss performance by business unit. 

Provide direction and training to the hotel operational team in areas related to finance, financial reports, internal controls, labor management, payroll, etc. 

Effectively manage the accounting team through respectful communication, clear expectations, relevant training, productive coaching, regular meetings, and appropriate performance management. 

Recommend and maintain a system of policies and procedures to ensure adequate control over Finance Department activities.
